Preparing for an Event Shoot: A Short Guide for Communications Teams

Event photography goes wrong in predictable ways. The keynote is covered from the back of the room, nobody photographs the partner banner, and the one image the director wanted does not exist.

Almost all of it is preventable with a short conversation beforehand.

Agree the shot list first

Before anything else, write down the images you know you will need. Typically that includes the guest of honour arriving, the opening remarks, the audience at capacity, any signing or handover moment, partner branding in frame, and a set of portraits of key speakers.

A shot list of ten specific frames is more useful than an instruction to cover the event.

Share the run sheet

A photographer working from the programme knows when to be in position. Without it, they are reacting. The moments that matter most, a handover or an unveiling, often last under a minute.

Name someone to point people out

Nobody can photograph the permanent secretary if they do not know which person that is. Assign a staff member who knows the room and can identify people quickly.

Think about the room

Backdrops, banner placement and lighting all shape what is possible. A backdrop with a busy pattern behind a speaker will show up in every portrait. Where you can influence the setup, it is worth doing so before the day.

Decide about consent early

If participants are beneficiaries rather than public officials, agree how consent will be handled and communicated. This is easier arranged in advance than negotiated during a session.

Be clear about delivery

Agree what you need and when. A small selection within a day or two for social media, and the full edited set afterwards, is usually more useful than everything at once a week later.

After the event

Caption images while people still remember who is in them. An uncaptioned archive becomes unusable surprisingly quickly, and the effort of identifying people six months later is far greater than doing it in the same week.
